Template 1

Cake Order Form

One of the most important documents you need. Keep an accurate record of your client orders, perfect for your own files and for theirs. Add your logo and once finalised send a copy to your customer to sign. Use this as a cake proposal form too. Look professional right from the get go. 

  • Never miss an important detail. Update with every change that is requested as they come in. No more searching 10 emails or forgetting the date!

  • Note down contact details, venue, guest number, cake flavours, cake design details, and payment information.

  • Add a cake sketch and cake cutting guide on the additional pages to this document (see below).

Template 2

Cake Information Sheet

The second most important form and one that is often overlooked until there is an issue. Hand a copy to your client or venue at the cake handover. Ask them to read though while you explain any essential information such as allergens, non-edible decoration and anything that needs to be saved for the client like sugar flowers/toppers.

  • Protect your business and reputation by highlighting essential information such as allergens and storage/consumption information.

  • Print two copies, one for your records (to be signed and dated by client or venue) and one copy to leave with the client/venue. You'll want a signature to remove any responsibility for when the cake leaves your premise or after set up.

  • By signing, the venue or client are agreeing that the cake's been handed over or delivered in perfect tip-tip condition.

Portion and Cake Cutting Guide

How I wish this was available back in the day. Never again be confused by how many portions a cake will serve. Round and square cakes (even though we all hate square cakes, you will still get those orders and this will come in handy)!  Print this out and stick to your wall. No more having to consult google – totally mind-blowing!

  • Round cake finger or dessert portion numbers from sizes 4" - 14" cakes.

  • Square cake finger or dessert portion numbers from sizes 4" -14" cakes

  • Maximise how many portions can be cut from a cake by supplying your client with a handy cutting guide. Each tier, round or square is available to drag and drop into your order form.   • My client wants a cake to serve 80 guests with dessert portions. What cake sizes should I bake?....check the guide...

  • I have a request for a cake to serve only 1 guest....that's not your customer.... that's your other half! Don't bother with the guide, they probably have enough leftovers anyway...

Cake Disassembly Guide

Hands up how many venues or clients even know what a central dowel is? Too many. Send this document or hand to the venue and help them out when trying to disassemble a tiered cake. There are 2 versions of this handy infographic.

  • Version 1. A how to disassemble a tiered cake with no central dowel.

  • Version 2. A how to disassemble a tiered cake WITH a central dowel.

  • Plus a nice graphic to show internal supports and cake cards that need to be removed prior to serving. Not everyone knows what a dowel is!

Blank Portion and Cutting Guide

Exactly what it says it is. 

  • Drag and drop in the individual tiers that have been ordered by you client. Let them know how to cut the cake to get the most cake portions from each tier.

  • Make notes on flavours and fillings.

  • Duplicate as many times as you need to. You can drag and drop this sheet into your cake order form or proposal.

Cake Care Guide

We’ve all had a client who wants to pick their cake up and travel with it on their knee or in a roasting hot car. Or worse, you get to the venue to discover the cake will be on display in baking hot temperatures and displayed right next to a window…. This form is here to help! It’s time to educate the public on the best way to transport, store, display and of course eat your beautiful masterpiece.

  • No more complaints that the cake collapsed while in transit (on a knee) or next to the sports kit or buggy in the boot...

  • No more leaving the cake to sweat it out in a hot car or window....melted cake anyone?

  • No more - my cake was dry after cutting into it 3 weeks after the delivery... Education is key. This is a handy reminder to talk about those points. Email this ahead of collection or hand over at point of collection or delivery to venue. It might fall on deaf ears but you've done your best and caught their attention.

This cake combination guide does not cover every size or combination, rather it’s a collection of my most popular cake combos and sizes that work really well together for a modern cake design. The rule of leaving a 2″ gap between tiers does not apply here.  Times have changed and so has cake design. 

  • Single tiers for drip cakes, small 2 tiers for birthday or intimate weddings and so on. All based on round cakes simply because 99% of orders are for round cakes.

  • You can drag and drop the blank version of these combos (from the following 15 document pages) into your cake order form. You can download, draw detail on like flowers, stencil, ruffles and upload back to Canva (I show you how easy that is) and add it to your finalised cake order form.
